Quotation Specialist – Commercial Service Plumbing & General Facilities Maintenance

Currently, All American is looking for a Quotation Specialist to join our Facility Service Team. We are a specialized facilities maintenance firm who has been providing world-class facilities maintenance solutions to our Clients since 1975.

Position Title: Quotation Specialist

Position Summary:

The Quotation Specialist will work with Account Managers as well as other internal team members to utilize technical knowledge and reference materials to prepare quotation packages based on the information obtained from Technicians, estimators, and subcontractors location visits and/or surveys. Most quotations will be for smaller projects and service repairs as requested by our Clients. All quotations will be developed under the guidance of an Account Manager.


  • Monitor work orders, jobs, for quotes needed to proceed.

  • Receives information, photos, drawings, materials lists from field personnel and organize and prioritize the information.

  • Works with various Account Managers, Estimators, In-house technical experts, and/or Subcontractors to develop quotes for service/repair/remodel jobs.

  • Develop quotations along with all necessary exclusions, clarifications, and conditions.

  • Review quotations with Account Manager for final submittal to Client-Upload quotation to a Client system, if appropriate.

  • Monitor submitted quotes in Client systems for approval or decline status.

  • Update Account Manager with the status of quotations.

  • Completes special projects as needed.

Knowledge, Skills and Abilities Required:

  • Extreme attention to detail

  • Must possess the ability to interpret customer requirements, drawings, and/or specifications, ensure that quotes are technically compatible and competitive by communicating with the Account Manager or other internal team members to determine/clarify project requirements.

  • Understands, analyzes, documents, and communicates contractual, technical and commercial terms and has a working understanding of bid strategies and market conditions. This individual will work with the appropriate Account Manager to review a quotation package with comments on exceptions and built-in value for upload or submittal to the Client. Involved in order handoff process as needed to ensure proper order conversion. Embraces and fully utilizes new tools and technology to improve efficiency.

  • 3+ years industry experience.

  • The individual in this position will be knowledgeable about the following services: commercial plumbing, drywall, painting, flooring, roofing, concrete/asphalt repairs, etc. • Understand and able to apply UPC, CPC, and UBC as well as local code requirements.

  • Familiarity with third party software systems such as: Maximo, Ariba, Service Channel, Corrigo, 360 Facility, etc. is desirable.

  • Familiarity with multiple tabs, window navigation and managing numerous operating systems Proficiency with MS Office (Outlook, Excel, Word)

  • Effective verbal and written communication skills with both internal and external Clients

  • Critical thinker with ability to exercise independent judgment

  • Accuracy and attention to detail

  • Problem Solving Skills

Education and Experience:

  • 3+ years industry experience in Commercial Service Plumbing & General Facilities Maintenance Services

  • High school education or GED equivalent, Bachelor's degree preferred

  • Knowledge of customer service principles and practices

  • Previous Quotation Development experience required-Demonstrates professional verbal and written communication skills

  • Experience in utilizing CMMS (Computerized maintenance management systems) preferred, not required

  • The ideal candidate will be a self-motivated team player with good time management, verbal and written communication skills. Must be able to effectively utilize company software programs/collaborative tools and have the ability to manage several tasks simultaneously.

Work Schedule:

Typical business day schedule. M-F 8:00 AM – 12:00 PM daily.


The position requires no travel. The position is located in Brea, CA –This is not a remote work position.
